Major Duties
The Administrative Assistant will provide administrative support by performing a variety of administrative functions to implement the administrative programs, policies, and procedures of the office. Performs such duties as receiving calls, receiving and processing incoming mail, maintaining data entry to various databases, assisting with travel arrangements, and serving as timekeeper. Receives visitors and telephone calls to the organization determining the nature of requests before directing callers to appropriate staff. Maintains appointment calendars. Schedules appointments for managers along with receiving visitors who may be representative of various Government agencies, unions, civic and private groups or other FAA employees. Arranges meetings and conferences for the managers and team leads within the Division. Provides data entry into various databases for the division. Assists with travel arrangements for the manager, arranging schedule of visits, hotel reservations, airline reservations and administrative contacts with officials to be visited. Makes transportation and hotel reservations for members of the staff as needed. Develops and submits travel vouchers. Ensures that necessary documentation and receipts are provided. Serves as mail clerk. Assists organizational operations by performing mail and related clerical duties. Receives, sorts, and distributes mail according to established procedures within the division. Performs other clerical and manual duties related to receipt and delivery of mail. Inputs and maintains time and attendance records as required. Assists with ordering, maintaining, and distributing regularly required office supplies.
