Job Listing: High Level Executive Assistant

The market leader in equipment leasing and financing is seeking an executive assistant to support and assist the CEO.

Primary Job Functions:
- Arrange business and personal travel ensuring profile preferences are honored.
- Prepare for quarterly Board of Directors meetings and follow up with Board members.
- Attend Board meetings and take notes or minutes.
- Prepare Confidential Lease Proposals.
- Assist with follow up from organizations the CEO is involved with.
- Follow up with bankers and investors as directed.
- Help maintain "positive mental attitude" in the office.
- Handle personal investments of the CEO.
- Maintain personal financial statements, process invoices for payment, prepare correspondence, furnish accountant with information for preparing tax returns, update corporate minute books and balance checkbooks for various entities the CEO is involved with.
- Work with senior management committee to insure assigned tasks, weekly goal sheet, etc are submitted on a timely basis.

Secondary Job Functions:
- Coordinate distribution of Bulls/Cubs tickets
- Type employee reviews for CEO.
- Maintain and balance personal checking account, lines of credit, and charge accounts.
- Process payments of some personal bills.
- Make appointments for doctors, dentists, medical tests, etc.
- Handle personal items related to family cars.
- Maintain corporate minute books for IFC, R&L, NBBCCA.
- Act as a hostess and make all arrangements for large groups visiting.

Requirements:
- BA degree in secretarial sciences preferred or equivalent experience.
- 5+ years experience.
- Pay based on experience ranging from $50,000 to $70,000.
- Experience with real estate, legal secretarial, and accounting helpful.
- Willing to work overtime.
- Able to multitask and work with frequent interruptions.
- Proficient in Excel and Word.
- Interact with all levels of the company, outside customers, bankers, investors, mortgage companies and title companies.
