Job Listing: Executive Administrative Assistant

Supports business leader and direct reports by relieving them of clerical and administrative tasks. May provide support and direction to other clerical and administrative support staff.

Manages supervisor's calendar, independently schedules appointments, reviews invitees, collects materials and prepares executive for meetings.

Assist with sorting, prioritization and disposition of incoming calls and correspondence (email and postal mail), responding independently when appropriate.

Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.

Create and maintain departmental communication channels (e.g. email distribution lists).

Create, maintain, and publish department organizational charts.

Prepares memoranda outlining and explaining administrative procedures and policies to department management and monitors compliance.

Prepares records such as agenda, notices, minutes, and resolutions for meetings, schedules guests, distributes materials in advance.

Reviews approval requests (expense reports, agreements, etc.) for accuracy and compliance with company policies.

Follows-up on action items with direct reports on behalf of supervisor.

Acts as custodian of corporate documents and records.

Creates and maintains database and spreadsheet files.

Analyzes problems, determines approach, compiles & analyzes data, and prepares reports and/or recommendations for executive level staff.

Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.

Coordinates activities between organizations and outside parties.

Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, prepares and tracks expense reports, and accompanies supervisor when requested.

Punctual, regular, and consistent attendance.

Required Skills

Ability to maintain confidentiality and represent Comcast in a positive, professional manner.

Ability to communicate both orally and in writing in a clear, professional and pleasant manner.

Ability to plan, organize and prioritize in a highly effective manner.

Ability to handle frequent interruptions and changes in priorities.

Ability to juggle multiple priorities and possess exceptional organization skills

Above average proficiency of personal computers and software applications, including MS Word, Excel, PowerPoint, and Outlook; experience with Visio desired.

Knowledge of general office procedures.

Knowledge of the Comcast organization is a plus

Minimum of 5 years of experience in the administrative field.


Education:

High School diploma or equivalent required. Bachelor’s degree preferred.
