Job Listing: Sr. Project Coordinator

TEKsystems is looking for a Sr. Project Coordinator for a large local client in the Minneapolis, MN area.



DETAILED REQUIREMENTS:
Scope of Work Detail and Roles and Responsibilities:
Project Coordinator will be responsible to:
- Work with key project team members, key stakeholders and project managers in planning and developing project work plans, budgets, implementation plans, and contingency plans. Publish and maintain up-to-date plans for use by management and team members in direction setting, decision-making and general status updates.
- Work with team leads and sub-teams, including internal employees and external contractors, to manage and resolve issues and change control items, ensuring the sub-team is proceeding according to plan and in a coordinated manner with the entire project. This includes performing specific documentation and tracking activities.
- Work with key project team members, key stakeholders and project managers in coordinating the on-boarding and rolling off of project resources. Track/manage roll-in/off activities, maintain program rosters/roll-up resource allocation at the program level, partner with project teams to ensure that all resources are properly allocated in the program work plans, create metrics on resources and generate ad-hoc reports on program resources upon request
- Provide timely and accurate communication with the project manager, team leaders, team members and key stakeholders to ensure understanding of project status and direction. Communications include formal project reporting, roll-ups of project work plans, budget tracking and forecasts, status meetings as well as informal relationship building with key stakeholders.
- Work with key project team members, key stakeholders and project managers in coordinating and directing the completion of document deliverables for appropriate approval gate(s) and processes.
- Provide expertise in project management tools, exploiting the features of scheduling, resource planning and reporting. Analyze reports and provide information and recommendations to the project manager to keep the project on track (schedule and budget).
- Provide expertise in project processes, specifically the project lifecycle, system development lifecycle, and prioritization and approval processes. Work with project management on completing all the necessary forms and templates required of these processes.
- Act as a team lead for sub-teams within large cross-functional projects and on service request initiatives. This entails planning, organizing, controlling and evaluating the activities and resources from concept through implementation of a solution to ensure satisfaction of customer business needs (balancing time, cost, and quality/business requirements).
- Through effective role modeling, demonstrate expected corporate and divisional behaviors. The senior coordinator will provide coaching, mentoring and performance feedback to project team members.
- Maintain the Program Records documentation; communication plan, mission/vision documents organization chart, contact lists and file structures on document repository. Create and maintain the program documentation binder, updated with current program data.
- Validate program Earned Value, Financials and costs impacting the program.
- Consolidate project status reports, identify inaccuracies and resolve working with Project Managers/Coordinators, publish weekly program status/trend reports.
- Create presentation materials for multiple executive briefings weekly/monthly/quarterly as necessary.
- Schedule and coordinate program level meetings, participant feedback and logistics.
- PMO Administration tasks. Create PMO agenda, scribe meeting notes and ensure key Risks, Assumptions, Issues, Decisions and Action Items are logged for tracking. Assist in addressing time entry issues. Perform quality reviews of program information (Status reports, Risk/Issues logs, project plans, financial's, resource management data, time entry authorization, change control logs, organization charts, etc.).
- Update processes and procedures as necessary to support the program.

Specific Technical Skills:

Knowledge or Experience Needed:
- College degree in business, mathematics, computer science or a related field, or equivalent business experience.
- Ability to utilize end-user tools of intermediate complexity, with specific proficiency in MS Project and MS Excel.
- 2-3 years experience or equivalent in practicing business support functions with effective organizational and coordinating skills (e.g. department admin support).
- Strong communication/interpersonal skills with emphasis on customer service, decision-making, conflict management, teamwork, and coaching capabilities.

Other Skill or Experience Preferred:
Experience on Project coordination of IT projects or Leading IT project Teams
