Required Skills

•Solid Administration Experience (minimum of three years)
•Orientation for serving multiple senior executives
•Proficient in Microsoft Office Applications (strong emphasis in excel, word and PowerPoint)
•Proficient in Microsoft Outlook (Database function)
•Outstanding Oral and Written Communication Skills
•Extraordinary Organizational Skills
•Ability to maintain confidential information

Essential Responsibilities:

• Administrative Duties
 Answer Phones, direct calls and answer questions
 Greet Clients
 Expense Tracking (Payables )
o Create and Maintain spreadsheets typically for invoices and expense reports
 Compose agendas, notes to the file, memos and letters
 File and retrieve corporate documents, records and reports
 Create presentations
 Event Planning
 Maintain and schedule appointments/travel for executives
 Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
 Review operating practices and procedures in order to determine whether improvements can be made in such areas such as workflow, reporting procedures, or expenditures
 Set up and oversee administrative policies and procedures for offices and/’or organizations
 Attend meetings and record minutes
 Open, sort, and distribute incoming correspondence, including faxes and email
 Prepare agendas and make arrangements for committee, board and other meetings
 Prepare responses to correspondence
 Generate reports
 Run errands
 Mailings
 Handle multiple projects
 Other duties as required
