Job Listing: Marketing Administrative Assistant

Directed by the Senior Director of Communications & Marketing, this position supports the execution and dexterity of communications and marketing strategies to meet business goals and objectives. Duties include supporting the department with various functions and materials, board and community-related meetings, and assisting the staff of the Communications & Marketing Department.

Duties include:
*Cataloguing print and design projects, and proofing copy.
*Assisting with meeting set-up, and coordination and production of materials for Board of Governors and committee meetings.
*Maintaining media clippings and coordinating postings with Web site.
*Developing and maintaining paper and e-filing system for department.
*Scheduling meetings, coordinating logistics, and supporting development of materials for meetings.
*Coordinating department budget, including coding invoices, distributing reports, and monitoring expenditures.
*Coordinating and updating all vendor contracts.
*Assisting with tracking, coordinating, distributing, and monitoring the budget for print, design, and translation projects.

Requirements:
*Constant and close visual work at desk or computer.
*Constant sitting and working at desk.
*Frequent verbal and written communication with the Communications & Marketing Department and other business associates by telephone, correspondence, or in person.
*Frequent lifting of folders, files, binders and other objects weighing between 0 and 30 lbs.
*Frequent walking and standing.
*Occasional driving of automobiles.

Education or equivalent experience:
*Two years college education or equivalent combination of work experience and education preferably in Marketing, Public Relations, or Communications.

Applicants must posses the following:
*Possession of valid California driver’s license
*Proof of California auto liability insurance.
*Experience in use of Microsoft Word, Excel, Power Point, and Outlook.
*Proficiency in more than one language preferred.
*Ability to communicate effectively, both verbally and in writing
*Well organized and detailed oriented.
*Able to balance multiple deadline oriented projects.
*Must be able to have flexible schedule and work some weekends and evenings.
*Excellent customer service skills
