POSITION SUMMARY: Provides administrative support to senior-level executive and other departmental managers interacting with a diverse group of internal and external callers, visitors, vendors, and employees throughout all levels of the organization.
ESSENTIAL FUNCTIONS:
· Collects, generates, compiles, maintains and monitors a variety of data and databases to create and distribute reports and/or departmental publications.
· Organizes and prioritizes large volumes of information and calls. Handles confidential information. Takes messages or fields answers on routine and on-routine questions. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
· Acts as a liaison with other departments, new homes/facilities, and/or outside agencies.
· Types and designs general correspondence, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. May create and develop presentations as needed.
· Schedules and organizes complex activities that may include meetings, department activities, travel, and/or conferences for all members of the department as well as attendees from multiple locations.
· When needed, covers front desk and receptionist switchboard, assists with packages and mail distribution, meets and greets departmental visitors.
PERFORMS RELATED DUTIES:
· Codes and records A/P invoices, check requests, inventory and related functions. Maintains a vendor list, and monitors center spending against budget targets.
· Acts as a human resource representative performing functions including payroll, orientation, new employee system access and other personnel functions. Tracks all open requisitions, approvals, and money moves and keeps all department heads updated on open positions.
· Monitors and coordinates office and facilities matters including: telecom systems (phones and pagers), office equipment (copiers, faxes), supplies and building maintenance including placing service calls.
· All other duties as assigned.
Requirements
SPECIFIC EDUCATIONAL/VOCATIONAL REQUIREMENTS:
· High school diploma or equivalent.
· Must have knowledge of office administrative procedures and knowledge of use and operation of standard office equipment at a level generally acquired through a minimum of five years related experience.
· Must be proficient with Microsoft Office: Word, Excel, PowerPoint, Access, and Outlook.
· Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
· Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
· Work requires continual attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
· Efficiency and judgment is required to plan, prioritize, and organize diversified workload in a fast-paced environment
